Instructions

Arrival Times

Between 8:00am and 10:00am.

You can arrive earlier if you’d like, but we might not have the site layout ready for you to place your tent. But at the very least you can start unloading the car.

Artist, Vendors, Panelists, and Core Crew

  1. Temporarily park in a loading zone
  2. Get your stuff out of the car and move it towards your area (ask someone with a Volunteer badge and green lanyard if you’re not sure… we will be around the main amphitheater area all morning) – Don’t set up yet!
  3. Park your car in the Grassy Lot (Artist and Vendor Parking Lot)
  4. Walk back to the main event area
  5. Check in with me or a Volunteer to get your exact tent placement. – Don’t start setting up things until your placement is confirmed! You can pop your tent up at least if you know the general area, but don’t start setting up tables and stuff until you have been officially checked in. Tents are easy to move, but tables full of stuff are not!
  6. Set up your booth (once your placement is confirmed), and remember – no stakes in the ground.
  7. Paaaaaarty!

You can arrive earlier to unload, but the site might not be marked up yet for you to place your tent until after 8am. Find someone with a green volunteer badge when you arrive before setting up your tent so we can confirm your placement. We will show you where to place your tent.

Itashas and Food Trucks

The city will be closing down N Lake Ave.

I’m not sure exactly when they are going to do this.

So either the road will still be open when you arrive, or the road will be closed…

If the road is OPEN still:

Parallel park on whichever side you are supposed to be (itashas towards the park, food trucks on the other side). I will have some of my traffic cones reserving these spots. Please gently move them to the sidewalk, and claim your space. Then when they close the street down, everyone can move more towards the middle like on the site map.

If the road is CLOSED already:

Gain access to the closed off portion of N Lake Ave. via Cherry St. Please DO NOT try to enter from 50. I’m not sure exactly how the barricades will look, since the city is doing that part, but I asked them to keep the Cherry St entrance flexible. We will probably just have to team lift the barriers to let everyone in.

Food Trucks, please face your order windows towards the park and the Itasha vehicles.

Parking

Please follow this parking layout for artist, vendor, panelist parking spaces. We are not marking these off, so you will just have to do your best to fit the layout. The important part is to leave a nice pathway between both entry/exit points. Oh, and don’t block anyone in! Take your time and chillax with parking.

Start parking on the outer edges, and move in closely to the next vehicle.

This lot is for anyone vending, or helping with a core part of the show (games, activities, etc.)

If this lot fills up, just park at the Gray Middle School bus loop, which is literally across the street.

Questions

If you need to ask anything, just email or text me!

Confirmation

This is the stage 2 preflight.

Please fill it out for confirmation.

Also, as another reminder:

  • No stakes! (we will get banished if we break this rule)
  • Each tent leg must have weights (or it could fly away and make us all look really silly)
  • Leave No Trace (pick up any trash, and don’t overfill the public bins… come find me if they are overflowing, because I always bring extra trash bags)
  • Be prepared (bring some water, snacks, food, and anything you need to feel comfortable and chill for the day)
  • Have fun!

If something doesn’t look right, like you can’t find your name on the map, or whatever, just let me know. 99% of the time it’s an easy fix, or something that just got overlooked.

Or Itasha car, panelist, etc.
Let us know if you have any last minute questions!
